At Our Therapy Hub, we are committed to protecting the privacy and confidentiality of the personal and sensitive health information we collect. This Privacy Policy outlines how we manage personal data in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the My Health Records Act 2012, and relevant state health records legislation.
1. Collection of Personal and Sensitive Information
We only collect personal information that is reasonably necessary to provide high-quality paediatric allied health services. Because we operate as an interdisciplinary team of Speech Pathologists, Occupational Therapists, and Physiotherapists, we collect "sensitive health information" under the Act. This includes:
- Names, dates of birth, contact details (phone, email, address) of children and parent/guardians.
- Detailed medical, developmental, educational, and family histories.
- NDIS participant numbers, funding parameters, and care coordination plans.
- Session notes, diagnostic assessments, clinical evaluations, and video/audio recording reviews (collected solely with explicit written parental consent).
2. Methods of Collection
Information is collected directly from parents or legal guardians during phone intakes, digital form submissions (including our secure Referral Portal and blog callback cards), clinical sessions, or paper forms. With your explicit consent, we may also collect records from third-party professionals including paediatricians, general practitioners, NDIS plan managers, support coordinators, teachers, and early childhood educators.
3. Use and Disclosure of Information
Your sensitive health data is handled with strict professional care and is only used to:
- Deliver targeted clinical assessments, therapy sessions, and multidisciplinary treatment models.
- Coordinate NDIS service bookings, progress reporting, and plan-managed/self-managed invoice billing.
- Liaise with approved healthcare practitioners, school networks, and support agencies as authorized by you.
We do not sell, rent, or trade client information. We will not disclose health records to any third party unless we have obtained your written consent, or are legally required to do so (such as under mandatory reporting guidelines or court-issued subpoenas).
4. Storage and Data Security
All clinical files and personal information are stored securely to prevent unauthorized access, modification, or disclosure. We utilize encrypted, password-protected cloud-based allied health management software compliant with Australian health data hosting standards. Physical records are housed securely at our 55 Robertson Road clinic under lock and key.
In accordance with health regulations, pediatric records are retained until the child reaches 25 years of age, or for seven years after the last clinical contact, whichever is longer.
5. Accessing and Correcting Your Information
Parents and legal guardians have a right to request access to the health records of their children. Requests should be submitted in writing to [email protected]. If you believe any clinical details we hold are outdated, incomplete, or incorrect, please let us know immediately so we can update our digital rosters.

Terms of Service
Last Updated: June 1, 2026 • Service Agreement Framework
Welcome to the Our Therapy Hub website. By accessing our web application, booking an allied health session, or initiating a paediatric intake assessment at our Raceview clinic, you agree to comply with and be bound by the following Terms of Service. These terms constitute a legally binding agreement between you (the parent, legal guardian, or participant) and Our Therapy Hub.
1. Allied Health Services & Clinical Scope
Our Therapy Hub is an interdisciplinary paediatric clinic providing Occupational Therapy, Speech Pathology, and Physiotherapy services. All clinical assessments, individual programs, progress audits, and therapist consults are provided by qualified specialists registered with their respective professional bodies (AHPRA, Speech Pathology Australia, OT Australia, and APA).
2. NDIS Service Agreements
For participants utilizing National Disability Insurance Scheme (NDIS) funding:
- Plan-Managed & Self-Managed: Parent/guardians must supply accurate NDIS numbers, plan managers' email invoices, and NDIS dates before clinical treatments begin.
- NDIS Pricing Compliance: All billing rates are aligned strictly with the official, current NDIS Price Guide. Progress reports requested for NDIS plan reviews will be billed as clinical writing hours as outlined in standard NDIS guidelines.
3. 48-Hour Cancellation and Attendance Policy (NDIS Safeguard)
We operate a dedicated clinical schedule to ensure all children receive consistent, structured care. When a session is cancelled at short notice, we cannot easily reallocate that clinical block to another family on our waiting list.
Standard Cancellation Terms:
Cancellations or session changes must be notified at least 48 hours prior to the scheduled appointment. If notice is given less than 48 business hours before the session, or if a child does not attend (no-show), a cancellation fee of 100% of the session rate will be charged (or claimed from your NDIS plan allocations where permitted under the NDIS Price Guide).
4. Payment & Billing Practices
Private billing balances must be paid on the day of the treatment session. We accept credit cards, electronic funds transfers, and HICAPS for immediate private health insurance claims. Invoices for plan-managed NDIS sessions are routed directly to your plan manager for processing. Unpaid accounts may result in temporary suspension of future clinical sessions.
5. Parental Supervision Obligation
Because we specialize in family-centred practices, parent or legal guardian presence is highly encouraged during clinical therapy blocks. A parent or authorized guardian **must** remain on-site at our 55 Robertson Road Queenslander clinic for the entire duration of the child's treatment block. Our clinics do not assume custody or child-minding responsibilities.
6. Liability Limitations
While our clinicians utilize proven, evidence-based pediatric therapy practices, developmental progress varies. Our Therapy Hub makes no direct guarantees regarding specific developmental outcomes. To the maximum extent permitted by Australian Consumer Law, we limit our liability to the resupply of clinical services.
7. Website Usage & Intellectual Property
All elements displayed across our website—including copy text, blog articles, custom cartoon illustrations, brand logos, code, and graphics—are the exclusive intellectual property of Our Therapy Hub. Unauthorized scraping, replication, or distribution of this clinical material is strictly prohibited.
